Start with the room, not just the hotel
Give your company gathering a futuristic twist. From an evening reception to a conference celebration, a humanoid robot is an unexpected idea to explore with your event team. Start with the moment you want to create, then give it a clear place in the day.
Melville’s hotel-event pages offer useful planning starting points. Hilton Long Island/Huntington describes event spaces and planning support; Marriott Melville Long Island publishes room plans, equipment and service information. Bring the actual room and layout to your conversation, along with the part of the event you want to highlight.
Ask your venue contact to review the proposed outside service. EZ Robot Rentals confirms the date, venue suitability, activities and pricing individually.
Copy this six-part conference brief
Use these headings in your own event document. Keep them together in one event document and mark open details “to confirm.”
- 01 · Purpose
- Write one sentence: “We want a future-inspired detail at our staff reception,” or describe your own objective. Give the creative idea a clear objective.
- 02 · Audience
- Record the broad audience and guest estimate: team members, clients, invited families or a mix. Keep the initial audience description broad and share private details only when needed.
- 03 · Space
- Give the exact room and proposed position on its current floor plan. Note nearby registration, serving areas, presentation space and the route people use between them.
- 04 · Running order
- Identify guest arrival, presentations, meal service and the proposed robot-related window. Ask how setup and removal could fit with the venue and EZ team.
- 05 · Production contact
- Name the adult who brings the venue, event producer and EZ Robot Rentals into one conversation. List decisions still needed, so each supplier knows its part.
- 06 · Review deadline
- State when the team needs its final plan and public event copy approved. Only confirmed arrangements belong in invitations, staff announcements or campaign materials.
Find the moment between the main moments
- Before people arrive: agree on the proposed access route and setup window with the venue and EZ team. Confirm the supplier entrance and the adult who will meet the team.
- During the gathering: place the idea beside the existing running order: food service, speeches, presentations and guest movement. Bring that preferred window to the inquiry so the arrangements can be reviewed together.
- At the handoff: identify who can approve a practical change and how the event producer will reach that person. Keep removal arrangements beside the guest finish time.
For a company-wide concept, use the corporate event brief guide. For a family celebration, explore the private-party ideas.
Send a useful inquiry before a polished pitch
You can begin with a simple idea. Share Melville, the preferred date or flexibility, the venue or shortlist and the people you are bringing together. If a production team is involved, tell us which decisions it is handling.
EZ Robot Rentals has the Unitree R1 EDU. Bring your event idea to the team and explore the possibilities; arrangements are reviewed individually.
Questions before you inquire
How can we start before choosing a Melville room?
Send your venue shortlist, event purpose and date or flexibility. The team can help identify which room and schedule details need review as you develop the plan.
How do we bring the venue and robot idea together?
Share the current floor plan, running order and production contact. The venue’s resources and the proposed robot arrangements can then be discussed in one clear brief.
When should our company prepare the event announcement?
Develop the creative idea early. Once the venue and EZ team have confirmed the arrangements, use that agreed scope to shape your invitation or announcement.
