Company event planning · Long Island + NYC

A bold event idea. A proposal your team can approve.

Keep the excitement. Make the details clear.

You want a real humanoid robot at your next company event. Now the venue, producer and internal team need to know what they are approving. Use this practical checklist to turn “let’s bring Ted” into a clear conversation. Ted is our Unitree R1 EDU, brought and operated by EZ Robot Rentals. Edmund reviews each event’s date, setting, activities and quote individually.

For adult organizers and event agencies. This planning aid is not a contract, supplier approval or confirmed reservation.

Three different decisions

Requested. Agreed. Approved.

These words do different jobs. Keep them separate when your team forwards an idea or asks for a supplier review.

Your team requests it.

Describe the idea and the requirements your company or venue would like reviewed. A request, mood board or manufacturer clip is not a list of confirmed rental activities.

Edmund confirms the scope.

Discuss what can be agreed for the date and venue, which arrangements are included, and the quote. Leave unresolved items clearly marked as open.

Your company approves its part.

Your authorized colleagues handle the internal review and any required purchasing steps. Internal enthusiasm, a purchase request or a submitted inquiry does not itself confirm the rental.

The Ted approval record

Six lines that keep everyone on the same page.

Copy these prompts into your own event document. For each open item, record who can answer it and when your team needs the decision. Keep confidential records out of the public form.

  1. 01 / DATE & PLACE

    Name the actual event.

Record the date or flexibility, venue address, exact event space and audience. A company headquarters address is not enough when the gathering is happening elsewhere.

Your record: Event [name]. Proposed date [date]. Actual space [room/address]. Date confirmation [open/agreed].

  2. 02 / AGREED EXPERIENCE

Replace the wish list with a scope.

Ask which operated activities can be considered, where they happen and the proposed event window. Keep demonstrations, roaming, speaking, customization and filming ideas as questions until explicitly agreed.

Your record: Requested [idea]. Confirmed [scope or not yet confirmed]. Remaining question [item and owner].

  3. 03 / VENUE REVIEW

Get the room and arrival plan reviewed.

Share the proposed viewing area, guest routes, arrival entrance and setup access. Name the venue contact who reviews outside suppliers and any known restrictions.

Your record: Layout version [reference]. Venue reviewer [role]. Access questions [open items].

  4. 04 / SUPPLIER PROCESS

Ask early about the documents you need.

Send your supplier-onboarding list and review deadline. If your company needs a particular document, insurance wording or purchasing arrangement, ask Edmund what can be provided before relying on it.

Your record: Required item [description]. Requested by [role/date]. Availability or acceptance [open/confirmed].

  5. 05 / QUOTE & TERMS

    Review the actual written proposal.

Ask what the price covers, what remains outside the scope, and which event, payment, change or cancellation terms would apply. Do not treat an estimate or an internal budget as an agreed booking.

Your record: Proposal reference [version]. Included scope [summary]. Open commercial question [item].

  6. 06 / PUBLIC ANNOUNCEMENT

Make the promotion match the agreement.

Name the colleague who checks the event description and proposed brand or filming use. Announce only the robot activities, timing and arrangements that have actually been confirmed.

Your record: Event-copy owner [role]. Approved description [reference]. Unconfirmed wording [remove or resolve].

Keep one version in circulation

One coordinator. Fewer crossed wires.

Choose one adult event contact to collect questions from the agency, company and venue. When an idea changes, update the same record instead of forwarding an old proposal beside a new wish list. Your team can mark an item “requested,” “awaiting review” or “confirmed” without pretending every detail is settled.

A useful first message: “We’re considering Ted for [company event] at [venue and town] on [date or options]. The audience is [estimate]. Our proposed robot moment is [idea]. These requirements need review: [short list]. Our coordinator is [adult contact], and our next internal decision is due [date].”

Nassau, Suffolk and New York City

Plan for your room, not a generic venue.

A Garden City reception, Melville workplace event and Manhattan launch can have different property contacts and supplier processes. Use your actual venue’s current requirements. We welcome inquiries across Long Island, Manhattan, Brooklyn and Queens, with the date and suitability reviewed individually.

Before internal sign-off

Good questions
before the big day.

Can our event agency handle the inquiry?

Yes. Identify the main adult coordinator and the company, venue and approval roles involved. Send the event brief and open questions without confidential company files or attendee records.

Are insurance documents or supplier approvals included?

Do not assume a particular document, coverage wording or approved-vendor status. Send your exact requirements and ask what can be provided and reviewed before agreeing the event.

Can we issue a purchase order or use our company’s terms?

Share the proposed purchasing process with Edmund. Any commercial arrangement needs individual agreement; this page does not promise acceptance of purchase orders, payment terms or a client’s standard contract.

Is Ted a robot we operate ourselves?

This event offering is brought and operated by EZ Robot Rentals. Guest control, programming access, technical training or research hire should not be assumed. Tell us your objective so we can discuss the appropriate demonstration scope.

Does completing the checklist reserve the event?

No. The record helps your team ask clear questions. The inquiry, company approval and confirmed rental are separate stages. Edmund confirms the date, venue suitability, activities, arrangements, quote and booking terms individually.

Make the next conversation a useful one

Bring the big idea. Bring the open questions.

Tell Edmund your date, venue, audience and the requirements your team needs reviewed. EZ Robot Rentals is operated by EZ Party Rentals LLC. We’ll discuss the plan and quote with your event contact; your inquiry does not reserve Ted.
